Connect the inboxes and documents your team uses.

Set up personal or shared email, publish Google Docs templates, and understand what disconnecting does.

Connect a mailbox

Open System settings → Email accounts & inboxes. If the provider says administrator setup is required, ask your administrator to enable it first.

  1. Add a mailbox and choose Personal account or Team inbox. Personal accounts are available to the person who connects them; team inboxes are shared with assigned teammates and authorized administrators.

  2. Select Google or Microsoft, enter the inbox name and address, and choose team members when creating a shared inbox.

  3. Save the mailbox, then complete the provider authorization using the intended Google or Microsoft account.
  4. Return to Soffyt and check that the mailbox is connected. Review its access and sending identity before using it for customer correspondence.

Coordinate a team response

In a team inbox, assign conversations, track their status, and use internal notes to coordinate a reply. Check the sending mailbox, recipients, and attachments before sending. A connected mailbox can contain correspondence beyond a single customer or project; choose shared access deliberately.

Connect Google Drive separately

The Google Drive connection for document templates is separate from Gmail. In Quotes → Document templates, an authorized administrator can connect Google Drive and set up the template folders. Access is limited to files created through Soffyt or selected for it. Use Choose from Drive to import an existing document; the person who connected Google performs that import.

Publish the document your customer will see

Create or import a template, edit its source in Google Docs, and insert the supported Soffyt fields. After Google saves, refresh the preview and compare the source with the published Soffyt view before publishing. Review a filled customer preview or PDF as well. Editing the Google Doc alone does not publish a new Soffyt version or change documents already sent or signed.

Disconnecting does not delete history

Disconnecting email stops future synchronization using that connection, but stored messages and attachments may remain. Disconnecting Google Drive removes the connection while retaining source documents in Drive and published Soffyt templates and customer documents. Request deletion separately through your organization or the privacy contact.

Resolve connection problems

Check the displayed connection status, account identity, and provider error. A revoked authorization may require reconnection. A template preview problem may mean the source file was moved, removed, or is unavailable to the connected account. Share the error and affected feature with support without sending credentials or customer documents.
