Document the correct job
Open Jobsite from the relevant project, opportunity, or service work. Check the linked record and location before adding photos or notes. Clear titles and descriptions make it easier for the office to distinguish arrival conditions, progress, and completed work.
Use a checklist for repeatable requirements
Checklist templates define what a visit should document. Apply the appropriate checklist, complete its required items, and add the requested notes or photos. Review incomplete requirements before marking the visit’s documentation finished. A checklist documents the work; it does not replace the appointment or financial record.
Check uploaded files
Confirm that an upload has finished and is available on the intended record. Files may need processing or security checks before they can be opened. If a file is blocked or remains unavailable, note the displayed status and contact support instead of repeatedly uploading the same file.
Build a useful report
Start with a specific question, such as which opportunities need follow-up, which projects remain open, or which invoices are overdue.
- Open Reports and select the relevant supported data source.
- Choose the metric, filters, grouping, and display that answer the question.
- Check date ranges, owners, stages, and job types against the records you expect to include.
- Save the report and add it to a dashboard if your team needs to review it regularly.
Interpret totals in context
Contract value, invoice amount, receipts, and job profit measure different things. A report reflects its selected source, filters, and available data. Compare an unexpected result with the underlying records and your access before treating it as missing work or missing money.
Review sharing deliberately
An external dashboard link shares a read-only snapshot of its charts, visible table rows, and current filters. Anyone with the link can view that snapshot; it is not the live employee dashboard. Review its contents before sharing, replace the snapshot when it needs updating, and revoke the link when access is no longer needed.
